Pipedrive

Connect an AI employee to Pipedrive, from AgentTeams or the Pipedrive Marketplace: what it does in your CRM, the access it asks for, the reactions it handles, and how to disconnect.

What it is

An AI employee connected to Pipedrive works in your CRM the way a teammate does. It keeps deals, people and organizations up to date, moves deals through your pipeline, plans activities and marks them done, writes notes on the right deal or person, adds leads, and answers when a teammate asks it for something in chat.

In Pipedrive, the employee works with the login of the Pipedrive user who connects it: the deals, notes and activities it adds or changes carry that user’s name, and it sees what that user can see in your company’s Pipedrive. A Pipedrive user of its own, with the employee’s name, is the cleanest choice, because your team can then assign it deals and activities like anyone else and its work stays apart from yours.

Before you start

You need a Pipedrive user in the company the employee should work in, allowed to see and edit the deals, people and activities it should handle. On the AgentTeams side, connecting a tool is something an admin of your workspace does.

Connecting Pipedrive

There are two ways in, and both end in the same connection.

From AgentTeams

  1. Open the employee, go to the Tools tab and choose Pipedrive.
  2. Click Sign in with Pipedrive, sign in as the Pipedrive user the employee should work as, and allow access. There is nothing to type: Pipedrive tells us which company you signed in to.
  3. The setup checks the connection and switches on the default reaction. You’re done.

From the Pipedrive Marketplace

  1. Find AgentTeams in the Pipedrive Marketplace and click Install now, then Allow and Install on the screen that lists what AgentTeams may do.
  2. You come to AgentTeams. If you’re signed in, you go straight on. If not, sign in, or create an account if you don’t have one yet; a new workspace sets itself up first, and your dashboard then reminds you to finish.
  3. Pick the AI employee who should work in Pipedrive and click Connect Pipedrive. It works with the login of the person who clicked Install now. Need someone new for the job? Hire the employee first: the install waits for you for a day, in the browser you installed from.

Changed your mind? Don’t connect on the same page drops the install. Nothing reaches your employees until an admin picks one.

What the employee can do

  • Deals. Find deals by title or by filtering your pipeline, read a deal in full, create deals linked to a person or organization, move them between stages, change their value, owner and expected close date, mark them won or lost, and delete one when you ask. It can fill in your own custom fields, too.
  • People and organizations. Search people by name, email address or phone number, read and create people and organizations, and keep a person’s details and organization current.
  • Activities. Plan calls, meetings and tasks on a deal, person or organization, see what is still open, and mark activities done.
  • Notes. Write notes on a deal, person or organization, with headings, lists and links.
  • Leads. See your leads and add new ones for a person or organization.
  • Your setup. Read your pipelines, stages, products and users, so it puts deals in the right stage and assigns the right owner, and search across deals, people, organizations, leads and products at once.

What the app asks for

Pipedrive shows the list when you allow access. We use it for the features above:

  • Deals, read and write, to keep your deals current and move your pipeline.
  • People and organizations, read and write, for the contacts behind your deals.
  • Activities, read and write, for the calls, meetings and tasks it plans and completes.
  • Products, read only, to know what you sell.

What it reacts to

One reaction is on from the start: a new deal in your pipeline. The employee reads it, and when key details are missing (no contact person, no value, no expected close date) it adds a note saying what is needed. On the Tasks page you can also switch on reactions to deal changes (a new stage, value, status or owner; pair this one with a filter, because deals change all day), new people and new activities, and give each one instructions of its own.

The employee never reacts to its own changes, so one update can’t set off another. See Reactions for filters and custom instructions.

Staying in control

Every change the employee wants to make in Pipedrive goes through a review step first, and your company’s rules decide which changes need a person to approve them: a new deal, a moved stage, a note, an activity, a deleted deal. Start strict, and loosen it per action once the updates look right. Approval gates explains how.

What we receive, and what we keep

  • Pipedrive tells us when something happens in your company’s Pipedrive: a deal added or changed, a person or an activity added. We keep each one with the employee it reached, the way its chats are kept, and the employee works on the ones it has a reaction for.
  • What the employee reads and writes while working stays with that employee in your own AgentTeams workspace.
  • Nothing from your CRM is used to train any model. For the full picture, see our privacy policy.

Disconnecting

There are two places, and doing both is the clean way round:

  1. In AgentTeams. Open the employee, go to the Tools tab, open the Pipedrive card and click Disconnect. The employee stops working in Pipedrive at once, and what happens in Pipedrive no longer reaches it.
  2. In Pipedrive. Open Tools and apps, then Marketplace apps, and uninstall AgentTeams (a connection made from the Tools tab is listed as AgentTeams AI). This ends the access from Pipedrive’s side; if the employee is still connected, its Tools tab asks you to reconnect.

Disconnecting leaves everything the employee already wrote in Pipedrive in place, and the employee keeps what it learned. Remove the employee entirely if you want that gone too.

If something is off

  • It doesn’t pick up new deals. The reaction to new deals has to be on, on the Tasks page. Deals the employee added itself don’t count.
  • Its work shows up under someone else’s name. It was connected with that person’s login. Disconnect, then connect again from the Tools tab, signed in as the employee’s own Pipedrive user.
  • After installing, nothing is waiting to be connected. The install was finished already, a day went by, or you signed in from another browser. Click Install now in the Pipedrive Marketplace again, or connect Pipedrive from the employee’s Tools tab.
  • You can’t pick an employee. Only admins connect tools. Ask an admin of your workspace to install AgentTeams from the Pipedrive Marketplace, or to connect Pipedrive from the employee’s Tools tab.
