Klaviyo

Connect an agent to Klaviyo: what it does in your account, the permissions it asks for, how it starts work, and how to disconnect.

What it is

An agent connected to Klaviyo works in your Klaviyo account the way a marketing teammate does. It looks up customers, their consent and their email activity, reports on campaigns and flows, keeps profiles and lists up to date, handles subscribe and unsubscribe requests, and drafts emails and campaigns for your team to review.

The connection is to the Klaviyo account as a whole, not to one person. What the agent changes shows in Klaviyo as coming from AgentTeams. One agent works in one Klaviyo account; a company with one account per brand connects each brand to the agent that works on it.

Before you start

You need a Klaviyo login for the account the agent should work in, with a role that can add integrations: Owner, Admin or Manager. Whose login it is doesn’t matter, because the connection belongs to the account. Any Klaviyo plan works.

Connecting Klaviyo

  1. In AgentTeams, open the agent, go to the Tools tab and choose Klaviyo. The setup shows what the agent will be able to do; click Let’s connect Klaviyo, then I’m ready.
  2. Click Sign in with Klaviyo, sign in, check that the right account is selected, and click Allow.
  3. The setup checks the connection and shows the account. That’s it: there is nothing to type, Klaviyo tells us which account you picked.

Until Klaviyo has reviewed our app, its screen says that the app hasn’t been reviewed by Klaviyo. That’s expected: confirm and continue, and the connection works the same. Klaviyo reviews an app once enough customers use it.

What the agent can do

  • Customers. Find anyone by email, phone number or your own customer ID, see whether they agreed to emails and texts, the lists and segments they’re in, and what they received, opened, clicked and bought. On accounts with enough order data it also sees Klaviyo’s predictions, such as expected lifetime value, churn risk and the next order date.
  • Profiles and lists. Create and update profiles and their custom fields, create lists, and add or remove people. It updates the profile with the same email, phone number or customer ID instead of adding a duplicate.
  • Subscriptions. Subscribe people to email or SMS marketing, only when they explicitly asked, and with a note of where they asked. Unsubscribe people who ask to stop: an unsubscribe always covers all marketing on that channel, never just one list.
  • Campaigns and flows. Read campaigns (audiences, subject lines, send times) and flows (their status and every step). It doesn’t change flows.
  • Reports. Campaign and flow results for any period, email by email: recipients, opens, clicks, orders, revenue and unsubscribes. Totals over time for any metric, such as orders and revenue per day or week, split by flow or by message.
  • Emails and campaigns. Write email templates, with your unsubscribe link built in, and set up draft campaigns with audience, subject line, preview text, sender and content. Your team reviews and sends them in Klaviyo.
  • Events. Record an event on a customer’s timeline, such as a requested demo or a closed support ticket. Flows you built on that event start for that customer.

What the app asks for

Klaviyo shows the full list on its approval screen. Each permission is there for a feature above:

  • Account, read only, for the account’s name, default sender, timezone and currency.
  • Profiles, read and write, to look people up and keep their details current.
  • Lists, read and write, and segments, read only, to read your audiences, create lists and add or remove people.
  • Subscriptions, read and write, to read and change marketing consent for people who asked.
  • Campaigns, read and write, to read campaigns and their results and create drafts.
  • Flows, read only, to read flows, their steps and their results.
  • Metrics, read only, and events, read and write, for reports, a customer’s activity, and new events.
  • Templates, read and write, to read your email templates and create new ones.

The app can’t change flows, coupons or your product catalog, touch billing or account settings, or delete profiles.

How it starts work

Klaviyo doesn’t tell the agent on its own when something happens in your account, so there are no Klaviyo reactions. The agent works in Klaviyo when you ask it, in chat or in Slack, on a schedule (a weekly campaign and flow report is a good first task), and when something happens in another tool it’s connected to: a support agent that receives “please stop emailing me” can unsubscribe the customer in Klaviyo. See Tasks & schedules and Reactions.

Staying in control

Looking things up and reporting happen right away. Every change the agent wants to make in Klaviyo (profiles, lists, consent, events, templates and campaigns) is checked first against your rules, and waits for a person when your rules say so. Campaigns stay drafts: the agent sends one only when someone asks it to, and that is checked too. Approval gates explains how.

What we receive, and what we keep

  • We only read what the agent asks for while it works. Klaviyo doesn’t send us your account’s data on its own.
  • What the agent reads and writes while working stays with that agent in your own AgentTeams workspace, the same way its chats and emails do.
  • Nothing from your account is used to train any model. For the full picture, see our privacy policy.

Disconnecting

Open the agent, go to the Tools tab, open the Klaviyo card and click Disconnect. The agent stops working in Klaviyo at once. Everything it already created in Klaviyo stays in place, and the agent keeps what it learned; remove the agent entirely if you want that gone too.

If something is off

  • Klaviyo says the app hasn’t been reviewed. That’s expected until Klaviyo reviews it. Continue, and the connection works the same.
  • Klaviyo won’t let you allow access. Your role needs to be Owner, Admin or Manager. Ask someone with one of those roles to connect it.
  • It connected to the wrong account. Disconnect, then connect again and pick the right account on Klaviyo’s screen.
  • Reports show no revenue. Revenue comes from the orders Klaviyo knows about, usually from your connected shop. Without orders in Klaviyo, ask for opens and clicks instead.
  • A report takes a moment. Klaviyo allows only a few report requests a minute, so the agent gathers what you need in one go.
  • The agent asks you to reconnect. Klaviyo no longer accepts the connection. Connect again from the Tools tab.
